HMS Victory is the custom Discord bot for the UK Place community server. It's run by the server's owners and staff, for that one server only.
What we collect
- Your Discord account basics: your user ID, username, display name and avatar.
- What you do in the server: the messages you send (including edits, deletions, replies and links to attachments), reactions, when you join or leave voice channels, and when you join or leave the server or your roles change.
- What you do with the bot: your XP and level, your UKPence balance and transactions (UKPence is the server's own points currency and has no real-money value), game and puzzle results, shop purchases, badges, rank card settings, and any custom rank background image you upload.
- Moderation records: warnings, timeouts, restrictions, automated flags and staff notes.
We don't collect your email address, password or payment details, your direct messages with other people, or anything from other servers.
How we use it
- To run the server's features: levelling, the points system, games, leaderboards, rank cards, translations, quote images, the Hall of Fame, catch-up summaries and the chat assistant.
- To keep the server safe: logging edited and deleted messages for staff, spotting spam, raids and rule-breaking, and helping staff look into reports.
- To keep the points system fair: anti-cheat checks on games and puzzles.
- To make server statistics and daily and weekly summaries.
Services that handle data for us
- Discord, where all of this happens.
- OpenAI, Google (Gemini) and TypeSafe: some features send the relevant messages to these AI services to produce a translation, a summary, a moderation check, a voice-note transcription or a chat reply. Your messages are not used to train AI models.
- Amazon Web Services runs the bot's server in London.
How long we keep it
- Copies of messages kept for the deleted-message log are deleted after 30 days.
- XP, points, game and moderation records are kept while the bot runs. When a member leaves, their points go back into the server's shared pool.
Who can see it
The data is stored on the bot's private server, encrypted at rest, and only the people who run the bot can access it directly. Server staff see logs and moderation tools inside Discord. We don't sell or share your data, and we don't use it for advertising.
Your choices
You can ask what we hold about you, or ask for it to be deleted, by opening a support ticket in the UK Place server or messaging a member of staff. We'll delete what we can, but we may keep moderation records where they're needed to keep the server safe. Leaving the server stops any new data being collected.

If this policy changes, we'll update the date at the top of this page.
